Guidelines for speakers/discussants/chairs

The official language of the ERIC2024 is English. Please bear in mind that most of the delegates are not native English speakers.

Speakers and presenting authors should arrive at the meeting room 20 minutes before the beginning of the session. The AV crew will place a headset microphone on you before the start of your session. Please refer to the AV crew table inside of the Auditorium.

Speakers and presenters will not be able to use their personal laptops to present slides. All PowerPoint presentations must be handed in advance at the Speakers Ready Room. Presentations will be loaded into a handling system that will store and distribute your presentation to the session room in time for your session. Presentations should be handed in preferably the day before or at least 2-3 hours before the session starts. Please secure enough time to deliver your slides to the Speakers Ready Room.

Speakers ready room

The technicians of the Speakers Ready Room (located in the VIP room on the ground floor) will load your presentation into the system so that it will be available on the computer in your session room. Please preview your presentation carefully on the Speakers Ready Room computer assigned by the staff before the final sign-off. If you are making more than one speech during the congress, you may upload all your presentations at the same time, and they will be sent to their corresponding session room at the time of your sessions.

Thursday, 12:00-19:00 h.
Friday, 08:00-18:00 h.
Saturday, 07:30-12:30 h.

Speakers should make sure all fonts appear as expected and all sound/ video clips are working properly before they leave the Speakers Ready Room. Proper identification is required to submit a presentation and to upload, preview and edit files in the Speakers Ready Room. Please check in with the Congress staff on arrival in the room. Kindly note that storage devices (USB Memory Sticks, CDs, DVDs, etc.) will not be returned if left behind. Please ensure that devices are collected before the close of the congress, after which they will be destroyed.

Presentation/slide format

All presentations must be in PowerPoint format (version 2019 or higher) with the videos, if any, embedded in it. Save your presentation in .ppt, .pptx (PowerPoint) or .pps, .ppsx (PowerPoint Slideshow) format on a memory stick, CD or DVD, including a copy of the videos and other files that are embedded in the presentation and the font package, if you have used special fonts. Make sure the math symbols are in Latin font. The rooms will be equipped for projection in 16:9, full HD 1920×1080.

Streaming and Recording Policy

The sessions taking place in the Auditorium (plenary sessions and discussion sessions) will be made available live for those attending remotely and recorded to populate on the ERIC website.

Specific guidelines for discussion sessions I to VII

As you know, this year the Congress is trying a new format for delivering education, avoiding didactic talks, and instead heavily relying on interactivity and enhancing the event with audience engagement technology from Open Audience and their product, Open Meet. With Open Meet, delegates can use their own devices to join in. Both in-person and remote attendees will be able to submit questions, participate in polls, and engage in various interactive activities.

As informed in the training sessions that took place on July and August, the moderators of the discussion sessions I to VII will be responsible to prepare one PPT per session including all the slides. A template is attached.

The Open Audience team will deliver tablets to the moderators to manage the questions, etc. and they will be at the Auditorium to assist you with any doubt.
